KMMS Student Mitigation Guide

Mitigation of Extenuating Circumstances 

Extenuating circumstances are circumstances beyond your reasonable control (i.e., unforeseen or unavoidable) which you considerto have adversely affected your studies or academic performance.   

If you would like advice on submitting an extenuating circumstance request, please contact the KMMS Student Life and Guidance team as soon as possible.  

There are two types of extenuating circumstances requests for KMMS students, In-Course and Post Hoc.  

In Course – extenuating circumstances requests are used to mitigate against events or circumstances, outside of your control, that affect your ability to submit assessments in the lead up to, or by the deadline, or attend an assessment.

You should use the In-Course request for the following:  

  • Extension Request for Coursework and E-Portfolio Submissions (must be submitted before the assessment deadline) 
  • Late Submission of Coursework and E-Portfolio Submissions (must be submitted within five working days of the assessment deadline) 
  • Delayed assessment (deferral) of an MTT/AKT, Presentation, or OSCE (must be submitted before the assessment takes place)

Post Hoc – requests for mitigation of extenuating circumstances are used to recognise events or circumstances which caused exceptional interference with your academic performance. 

You should use the Post-Hoc request for the following:  

  • Impaired Performance for Submitted Pieces of Coursework and E-Portfolio(must be submitted within five working days of the assessment deadline) 
  • Impaired Performance for Scheduled Examinations such as AKTs or OSCEs(must be submitted within five working days of the assessment)  
  • Failure of a Module due to Attendance Below the Required Threshold (must be submitted within five working days of the submission deadline)  
  • Failure of a Module due to Incomplete E-Portfolio Tasks(must be submitted within five days of being notified).  
  • Failure to attend scheduled assessment such as AKT or OSCE (must be submitted within five working days after the assessment) 

Submitting a request 

*If you are unwell or unable to attend on the day of an assessment, then you need tocontact the KMMS Student Life and Guidance team and theAssessment team urgentlyin addition to submitting an extenuating circumstances request.  

  1. On the Student Portal, select the Your Course dropdown, and choose Forms. 
  2. Choose the appropriate form for your request: Extensions, Late Submissions & Delayed Assessments is one form, and Post Hoc is the other. 
  3. After reading the on-screen information and attaching any relevant evidence, submit your Microsoft Form. 
  4. You will receive an email notification that your application has been submitted. 
  5. You will receive an email of the outcome once your application has been reviewed by staff.
